Google Doc Sharing:


Google Drive allows the flexibility to share and collaborate on information quickly and easily. There are several share settings within Google Drive. By default the items you create within Google Drive are not shared with anyone. However, by clicking the share button on any document or folder, or publishing a document to the web, users have a variety of option on how they share the document.

***This feature, while powerful, could also be dangerous if a user were to put out sensitive information on documents that are share publicly. We ask users to be mindful of what they share in Google Docs. Users at Knox College receive a BetterCloud digest of public documents through their email so they can adjust the share settings if needed. Users are asked to look at the documents to ensure they are not sharing sensitive information. Users who need assistance with the features of Google Drive are asked to come to the ITS monthly training sessions. ***


Directions on How to Change Your Share Settings:

  1. Open the document you would like to share.

  2. Click the share button open in the upper right hand corner


3. Add desired users to the shared list.
4. To remove users or, change who can view, click advanced:



5. After selecting advanced, you will then see a list of users who the document is shared with along with a drop down list of their rights.



6. To change the rights for individuals, click the drop down menu and select the desired rights. To remove the user, click the X in the top right hand corner.
7. In Google, files can also be shared publicly to other users. To change these options select “Change” under advanced.



8. Change your share settings to the desired settings: Specific people, anyone at Knox, anyone with the link, or Public on the web. ***Public on the web can be viewed by ANYONE. It is important the personal information not be shared through Google Drive.
