Green Oaks Canoe and Kayak Reservations

About:

The College uses a Jotform and integrated spreadsheet to manage the check-out / check-in system for canoes and kayaks available at the Green Oaks Field Station.

Workflow:

  1. End-user complete the Jotform. Details include:

    1. Primary and other user names

    2. Desired date

    3. Desired canoe or kayak

    4. initialing and signing the waiver.

  2. The form sends an email to Campus Safety notifying them of the reservation.

  3. The end-user arrives at Campus Safety to pick up the key for the appropriate boat lock.

  4. Campus Safety issues the key and updates the spreadsheet to:

    1. Notes the officer who issues the key

    2. Date and time of issuance.

  5. The en-user uses the boat for the day and returns the boat to the appropriate location and locks the boat in place.

  6. The end-user returns the key to Campus Safety.

  7. Campus Safety the stores the key and updates the spreadsheet to:

    1. Notes the office who received the key.

    2. Date and time of return.

The Jotform is called Canoe and Kayak Reservations. Use this link to access the fillable form.

The Google Sheet is called Canoe and Kayak Reservations as well. This file is stored in the Google Share Drive: Green Oaks Canoe and Kayak Checkout. Use this link to edit the sheet.

Campus Safety Staff Actions on the Spreadsheet:

  1. Open the spreadsheet. Note: You will work only the columns shaded in in Green. You will NOT be able to edit the columns shaded in red.

  2. When Checking a key out, enter your name and the date of issuance as shown below. The changes will be saved automatically.

     

  3. When checking a key in, enter your name and the date of issuance as shown below. The changes will be saved automatically.

     

Viewing Completed Forms:

Should you need to view a pdf version of the completed form open this Google Drive Folder. The pdf files are stored in subfolders of the same as the file. The files are named in a Date of Reservation - Primary Operator - Boat # format eg: “12-19-19 - John Doe - Canoe #6”.
