Background

On occasion, users may want to post/send an email under the name of a Google group rather than as their own email account.  For example, Ross Davis (rmdavis@knox.edu) wants to send an email under the Google Group name HelpDesk_Dist-user or one of that group's aliases.

Setup

Part I - Prep the Google Group 

  1. Open Google Groups.
  2. Search for or navigate to the desired group.
  3. Click on the group name to open the group.
  4. Click Manage.



  5.  On the left side of the screen, click Permissions.



  6. From the drop down list, click 




  7. On the right hand side of the window, look for the Post section.  Click the down arrow and select click Public.



  8. Scroll down the windows a little farther and look for Post As The Group.  Click the down arrow and select Owners of the Group and, if so desired, Managers of the Group.  Selecting All Members of the Group in NOT recommended.



  9.  Click Save at the top of the window.



  10.  The prep process is now completed on the Google Group side.

Part II - Prep your GMail account

  1. Open your GMail account.
  2. Click the Settings "gear".
  3. From the drop down menu, click Settings.
  4. On the Settings window, click Accounts.

  5. On the Accounts screen click, in the Send Mail as: section, click "Add another email address you own".

  6. On the windows that pops open, enter the following:
    1. Name:  use the name you wish to display as the sender of the email. In our example we will use "IT Support".
    2. Email Address:  enter the email address of the Google Group (or an alias for the group).  In our example we're using Helpdesk_Dist-User@knox.edu
    3. Make sure Treat as an Alias is checked 

  7. Click Next Step.
  8. On the next screen click Send Verification.

  9. The Enter Verification screen will appear.
  10. Go back to your email and look for the verification message from the GMail system.



    Contents of the email:



  11. You may then either:
    1. Copy the verification code included in the email into the the verification form displayed in Step 9.  Then click Verify.  You will receive an on-screen notification once the verification process is complete.
    2. Click the link in email message to send confirm the verification via email. You will receive an on-screen notification once the verification process is complete.  If you chose this method, be sure to close the Verification windows displayed by Step 9.



  12. The prep for the GMail account  is now complete.
