Zoom Closed Captioning
This page will walk you through how to turn on closed captioning and auto-recording for zoom meetings.
On the top left side of the screen you will see where it says “ZOOM” in blue lettering and “Meetings” is highlighted in blue below that.
Below “Meetings” you will click to highlight “Settings” in blue.
Then click on “In Meeting (Advanced)”. The page will scroll itself down.
Here, you will find “Closed Captioning” and “Save Captions”. Turn both of these on.
These choices will appear. Click on the middle box that says “Allow live transcription service to transcribe meeting automatically”.
The middle box should appear with a checkmark and be blue. After that click the “Save” button and scroll back to the top of the page.
Once you have scrolled to the top of the page and selected “Recording”. Make sure there is a blue check in the box for “Save Closed Caption as a VTT file”.
Scroll down the page till you find “Automatic Recording” and turn it on by clicking the button to the right. Double check that the “Save Closed Caption as a VTT file” is also checked. This will be needed if you choose to save to the cloud later on.
Choose “Record in the cloud” and click “Save”.
After you have scrolled to the top of the page you will see the “Meetings” button again. Click it.
If you have an upcoming meeting scheduled that you want to do closed captioning with you can use that. Otherwise, start a personal room to test or record a private closed captioning.
Once you’ve chosen your meeting, hit “Start”.
Click “Open Zoom Meetings”.
Click “Join with Computer Audio”.
Hover your mouse over the zoom window to see this menu bar at the bottom of the window.
Click on “Start Video”.
Click on “Live Transcript”.
This menu will pop up. Click “Enable Auto-Transcription”.
The box will turn blue and then say “Disable Auto-Transcription”. Your closed captioning is now enabled. Close this box with the “X” in the upper right corner.
When you return to the zoom meeting and begin speaking, you will see your closed captioning begin to appear at the bottom middle of your screen as you speak.
When you are finished recording, hit the “End” call button.
Choose “End Meeting for All”.
When your video is finished uploading to the cloud, it will appear under the “Recordings” Section. Click on “Recordings”.
Once in “Recordings”, make sure you are looking under “Cloud Recordings”. Find the correct recording to send and click on the name of it. (Example: XXXXXX Personal Meeting Room)
After the video is finished, it is likely that you will have to wait for the “Audio Transcript” to finish “Transcribing”.
When the “Audio Transcript” is finished “Transcribing” it will turn into a file size. From the example in this image it is 86 B.
Once it is ready, you will hover over the line that says “Speaker View” and click the “Download Arrow”.
You will also click the “Download Arrow” on the “Audio Transcript” line.
Once you have both files downloaded to your computer, please double check the transcript by opening it with Notepad and make any necessary changes before saving it again. If you are to share these files with someone, Google Drive is the best way to do this.
