Operation
Starting Up the Control Panel
To begin, you must touch the screen.
Once you have started, a new home screen will display with multiple options. Listed from left to right, they are: Guest Laptop, Room PC, Wireless Presentation, Blu-ray, Audio Call, and Room Settings. It also has volume controls for the room and the power switch.
Opening any of the these options will automatically turn on or lower these things: The Projector, the ceiling microphones, and the two TV displays towards the back of Trustees Room.
Note: For any of the options below, the projector, speakers, TV displays, and celling microphone will automatically start up if they are not already on.
Laptop
Follow the on-screen instructions to utilize a laptop.
Select Lectern
Connect the Guest HDMI cable to your laptop
Connect the USB cable with the blue tag to your laptop
The USB is likely plugged into the Main PC
This USB cable gives your laptop control of the camera at the back of the room, the speakers. and the microphones
Select Wall Plate
HDMI cable needed
Plug laptop into wall plate under one of the TV’s
You can utilize two laptops at once, one on each TV screen
This acts like breakout rooms
Room PC
Make sure that the USB cable with the blue tag is plugged into the blue port of the computer tower
This gives the computer control of the camera at the back of the room, the speakers. and the microphones
When pressing the ‘Room PC’ option, the main PC will power on and you will have to log into your account in order to display anything on the projector.
Wireless Presentation
Shown in this picture below, on the bottom left hand corner of the screen, there will be instructions indicating how to connect your laptop.
This is just an example. The website and code could change. In this case it states:

Blu-Ray / DVD
When selecting the “Blu-Ray” option, a pop up menu will appear on the control panel. As shown below, It displays a Play, Pause, Rewind, and Stop options, as well as a general menu with other buttons.
Seen on the computer, projector, and both screens towards the back of Trustees is this menu, which includes a movie, picture, music, or settings option. The selection of these can also be selected from the control panel.
Once here, insert the Blu-Ray/DVD into the Blu-Ray player. It is located inside the left door of the lectern.
If the Blu-Ray player is not turned on, manually turn it on by pressing the power button.
The power button is outlined in red.
The tray eject/close button is outlined in purple.
Insert/Remove Disc.
Close tray when finished, before closing the lectern.
Audio Call
At the moment, the “Audio Call” aspect of the control panel has not been set up yet, but the premise is that you can have the ability to call someone through the room. Enabling the ceiling microphone and allowing you to have that person on speaker for the room to hear. Similar to having a guest speaker, but on the phone.
Room Settings
Having selected “Room Settings”, you will be led to a screen that allows you to do many things including:
In the settings menu, from left to right:
Mute or unmute Wireless Mics
These are the 2 lapel microphones found in the black Shure bags on the lectern
They require 2 AA batteries each
Mute or unmute Lectern Mic
Mute or unmute Ceiling Mics
Activate or deactivate Voice Lift
Voice Lift will carry voices from the front of the room to the back of the room
You must be speaking in the direction of one of the ceiling tiles
If you are not near a microphone ceiling tile, this will not work
This does not work side to side
You must speak up
This feature is more often helpful for the hearing impaired
How it works:
Your voice is captured by a ceiling tile microphone either at the front or back of the room
Your voice is output through the speakers on the opposite side of the room
Left Display
Turn on or off the Left Display
Utilize the Left display from the lectern (room pc or guest HDMI connection)
Utilize the Left display from the wall port under the TV
Right Display
Turn on or off the Right Display
Utilize the Right display from the lectern (room pc or guest HDMI connection)
Utilize the Right display from the wall port under the TV
Turn the projector off or on
Do not utilize this to “mute” or “freeze” the screen
There is an option on the projector remote to do this
Turning the projector off and on too many times in a short period of time will shorten the life expectancy of the lamp
Raise or Lower the projector screen
Microphones
Make sure that the USB cable with the blue tag is plugged into the blue port of the computer you are using
This gives the computer control of the camera at the back of the room, the speakers. and the microphones
Wireless Microphones
Located in the black bags are the wireless microphones
If you find that the wireless microphone is crackling, or is unplugged, reseat the connection.
To unplug the microphone from the belt pack, press the black button and pull gently by the silver metal ring.
To reseat the connection, ensure that the pins in the hole line up with the holes in the microphone.
Insert the microphone plug gently into the socket until it clicks into place.
The belt pack can go in your pocket or clip on to your waistband
The microphone clips onto the top of your shirt, in front of your mouth
If it is off to the side, it may not work
Ensure that the microphone is turned on when in use
Easily mute yourself by turning it off
Ceiling Microphones
There are two ceiling microphones located in the room.
One is towards the front and one is towards the back.
Green light indicates they are turned on.
Red light indicates they are turned off.
Note: The voice lift feature is an additional option when these are turned on. Voice lift will not work when these are turned off.
Lectern Microphone
The lectern microphone is a 24” Shure Micro-flex Gooseneck
The microphone can bend in two spots, one near the top, and one near the bottom
Speak into the soft cushion
The closer you are, the louder your voice will be
The farther you are, the softer your voice will be
Motion Tracking Camera
The HuddleCam is located at the back of the room and points towards the front
Make sure that the USB cable with the blue tag is plugged into the blue port of the computer you are using
This gives the computer control of the camera at the back of the room, the speakers. and the microphones
How it works:
The camera will track one person at a time
The camera focuses on head and shoulders, not who is speaking
If someone walks across the front of the room, it may track that person instead
The camera only tracks a person at the front of the room
The camera will track from the left side of the room to the right
The camera will not track you if you begin to walk into the middle of the room (lengthwise)
The camera has difficulty tracking if you stand in front of the projector screen with it turned on
Troubleshooting:
If the camera is not an option for your virtual meeting, call for assistance from the helpdesk
Do not attempt to fix the issue on your own
Powering off the system
Before powering off the system, be sure to log out of the Room PC.
You will not be able to log out after turning off the system.
To turn off the system, press the power button
Pressing the power button does the following things:
Turns off the Main PC
Turns off the Projector
Turns off both TV’s
Turns off the Ceiling Speakers
Turns off the Lectern Microphone
Turns off the Wireless Microphones
Turns off the Ceiling Microphones
Deactivates the Voice Lift
Raises the Projector Screen
Once you press the power button, the following screen will appear to confirm you want to turn off the system.
