Google Shared Drives (formally known as "Team Drives")

Update: as of June 1, 2019, Team Drives have been rebranded as Share Drives

Google Shared drives are created and used by end-users to allow the sharing of files via a common location.  These drives remain even after any of the members leave the College.  In essence, Google Shared Drives are a replacement for the internal network's W: (Departments) Drive.

Shared drives are also accessible via Google's Drive File Stream, thus allowing easier access to and use of MS Office, Adobe and other files.

Creating Shared Drives


  1. From My.Knox.edu open Google Drive

  2. Right click on Shared Drives

  3. Click New Share Drive


  4. Enter the name of the new Shared drive.  This name must be unique.  Click Create.


  5. Click Add Members.


  6. Add new members by:
    1. Entering the new member's email address.  You may also add by entering a Google Group address.
    2. Click the desired rights for the new member.
    3. Click Send.  This sends an email to the new member informing them of their access to the new Shared Drive.


  7. If you need to work on files from the Shared Drive while offline:
    1. Click the gear in the upper right hand corner of the drive.


    2. Click Setting.


    3. Click the Sync Google Docs, Sheets, Slides & Drawings files to this computer so that you can edit offline checkbox.


    4.  Click Done.
